With more than 30 thrilling events on the calendar, including multi-day, family-friendly gatherings like Festival of Power and VW Breakout, as well as European Championship Drag Racing rounds and popular festivals like Bug Jam and Ultimate Street Car, our events provide the perfect setting to showcase and sell your products to a captivated audience.

Trader Terms & Conditions
- Trade Stand Restrictions
To ensure a safe and family-friendly environment at Santa Pod Raceway, the following restrictions apply to all trade stands:
- Prohibited Products
- No vapes, alcohol, cigarettes, tobacco, or illegal drugs.
- No weapons of any kind, including knives, crossbows, catapults, offensive weapons, firearms, air-powered guns, or BB guns.
- No tools, oil, or tyres (due to exclusive sponsorship agreements).
- No number plates or related products.
- No fuel of any type, including gas canisters, charcoal, BBQs, or stoves.
- No glass items.
- No Santa Pod branded merchandise or any items featuring the Raceway’s name, logo, event title, or event date.
- No “Official Partner” branded products
- No counterfeit items under any circumstances.
- No balloons, fireworks, or Chinese lanterns, as these may endanger track activity.
- No products displaying offensive symbols, graphics, or wording.
- Food & Drink
- No food or refreshments may be sold for on-site consumption.
- Products sold for gifting purposes may be allowed with prior written consent from Santa Pod Raceway. Please email trade@santapod.com to request approval.
- Coca Cola products cannot be sold.
- Services & Promotions
- No event photography (including track or arrival photos).
- No car tuning or remapping services may be sold without prior consent.
- No event promotion, advertising, or marketing of other events without written approval from Santa Pod Raceway.
- Product Standards
- All ear defenders sold must comply with B.S. Regulation EN352-1 and be priced no lower than £6.95 per set.
- Any product that could damage the reputation or goodwill of Santa Pod Raceway is strictly prohibited.
- At family shows, any product or clothing displaying offensive imagery or wording may not be displayed or sold. The organisers reserve the right to confiscate such items immediately.
- Trade Set-Up
You will receive an email outlining trade set-up information in the week leading up to the event. All trade stands must be fully set up and operational, with any surplus vehicles removed, by the date and time indicated on this email. Unless prior arrangements have been made, traders must not arrive before the designated set-up times and dates. No vehicle movement is permitted within trade areas between 8am and 5pm on event days without prior approval. Traders must not create noise, disturbance, or annoyance to other traders or the public. - Break Down
Stands must not be dismantled before 4pm on the final event day. In the case of poor weather, traders are expected to remain open on their pitch until the event is officially cancelled; Leaving the venue before this time is strictly prohibited. - Ticket Allocation
Trader admission ticket allocations are outlined in the Trade Stand Prices table. Additional passes can be purchased at a discounted rate at the time of booking, up to a maximum of five per stand. On arrival, please collect your trade map and tickets from the Ticket Collection Office.
(NB: Any trader misusing or reselling passes will be required to leave the site immediately.) - Vehicle Passes
Each trade pitch includes one vehicle pass, issued along with entrance tickets. Requests for additional vehicle passes must be made before the event and will be considered at the organisers’ discretion based on pitch size and area capacity. All approved vehicles must be parked within your allocated pitch, while any extra vehicles must use designated day parking. Show vehicles are permitted within pitch boundaries – please indicate this on your Booking Form. - Trade Location
Trade stands will be located on tarmac surfaces, unless stated otherwise. Some events may be grass-based, where pitches are on grass. Stakes and drilling are not permitted – please use your own weights for securing structures. Pitch pricing is based on the frontage (with a standard 6 metre depth). If you exceed your pitch limits, an additional charge will apply for the extra area used. Please note that specific pitch locations cannot be guaranteed. - Ticket Insurance
Santa Pod now offers all ticket buyers additional peace of mind should they choose to protect their order with TicketPlan event ticket insurance. You can apply for a refund if the worst happens and you’re unable to attend the event due to unforeseen circumstances.
Your booking is non-refundable* and Ticket Plan will protect you if you are unable to attend the event due to specified unforeseen circumstances including, but not limited to:
- Evidenced Illness and injuries certified by a medical practitioner**
- Travel disruption due to breakdown en-route or bad weather
- Jury service
** Please be aware that a lateral flow test or PCR test is not evidence of illness that would prevent you from attending an event. The insurance does not cover transaction fees that apply to the whole order, delivery charges or donations.
*Your statutory consumer rights are unaffected. Full details of this insurance cover feature in the TicketPlan Terms and Conditions and insurance product information document which we advise you to read and retain. By adding TicketPlan to your order you confirm agreement with these documents.
- Trading Legislation
It is illegal to apply company names or trademarks to goods, or to sell branded items, without proper authorisation under the Trade Descriptions Act 1968. All traders must comply with relevant trading laws. Santa Pod Raceway accepts no responsibility for any trader found to be in breach of these regulations. - Sub-Letting
You must not sub-let all or part of your stand to another trader unless you have written permission from the event organisers before the event. - Animals
No animals are allowed on site, full policy can be found through santapod.co.uk/animals. - Glass & Litter
Glass is not permitted anywhere on site. At the end of the event, please ensure your pitch is completely cleared of all rubbish and debris. Any litter left behind will incur a £50 cleaning charge. - Noise
Please keep noise levels low and respectful of neighbouring traders. All music must stop by 11:00pm. - Electricity
If you’re bringing your own generator, it must be kept secure and safely positioned away from the public. Generators must be turned off between 11pm and 8am
Limited electric hook-ups are available in Trade Area C only, and must be requested in advance. These are allocated on a first come, first served basis. - 14a. Insurance
All exhibitors must hold appropriate insurance to cover fire, theft, damage, and third-party liability. Exhibitors must also indemnify the event organisers against any claims or costs arising from their participation. Purchasing a trade stand confirms you have the required cover. Santa Pod Raceway is not liable for any loss, damage, or theft of goods or property. Please send a copy of your insurance certificate to trade@santapod.com.
14b. Risk Assessments
All exhibitors must complete a risk assessment for their stand and have a copy available during the event for inspection by Health & Safety officers. A template is available at the bottom of this page.
Please email your completed risk assessment to trade@santapod.com.
If you cannot provide the required insurance and risk assessment documents when requested, your booking will be cancelled without refund.
14c. Fire Safety
Exhibitors must be familiar with basic fire safety procedures and provide their own 9kg powder fire extinguisher on their stand. The Event Organisers and the Fire Safety Officer may inspect all stands and equipment and can require the use of any equipment or appliances to stop if they do not comply with fire safety regulations. - 15a. Event Cancellation by Santa Pod
If an event is cancelled entirely before it starts, we will make reasonable endeavours to contact you using the details provided at booking.
- You will be offered a credit equal to the value of your trade pitch, redeemable at a future event within 12 months. Any event-specific exclusions will be communicated.
- If an event is rescheduled, your trade pitch will automatically transfer to the new date unless a credit is offered instead.

15b. Event Cancellation by Trader
If you cancel your booking:
- More than 6 months before the event: full refund.
- 2 weeks to 6 months before the event: full credit to your Ticket Shop account.
- Less than 2 weeks before the event: no refund or credit.
- Security
While the Event Organisers provide day and night security, exhibitors are responsible for safeguarding their own goods and vehicles. Santa Pod Raceway cannot accept liability for loss, damage, or theft of any exhibitor property. - Admission
Santa Pod Raceway reserves the right to refuse entry to any trader without prior notice or explanation. - 18a. Smoke-Free Policy
Since 1st July 2007, smoking is prohibited in all enclosed public spaces, including tents, marquees, and similar shelters. Traders must ensure their stands comply with this law.
18b. Drug-Free Policy
The use of illegal drugs is strictly prohibited. Any trader found using or involved with drugs will be asked to leave immediately. Santa Pod Raceway may carry out random searches of trade stalls if drug use is suspected. Refusal to comply with a search will result in removal from the venue.
- No Offensive Symbols
The public display or sale of hate symbols (e.g., Nazi-related symbols, swastikas, Confederate flags, KKK imagery) is not allowed. This includes stickers, clothing patches, or flags. Traders who fail to comply or remove offensive material when asked by security may be refused entry or removed from site. - Unlicensed Vehicles
The use of mini motors, quads, e-scooters, or any other unlicensed vehicles on site is prohibited. Traders encouraging or taking part in this activity will be removed from the venue without refund of trade fees.
Catering & Vape Opportunities at Santa Pod Raceway
Catering and Vape tenders are renewed every October/November prior to the next Season.
If you would like to apply for a Catering or Vape tender, please email: enquiries@santapod.com and your details will be forwarded across.
We cannot accept bookings for catering or vape stands for the 2025 season.
Risk Assessment & Public Liability Insurance
No trade stand booking or catering stands will be accepted unless a risk assessment and copies of public liability insurance documents are submitted on booking.
